Tempo Books: Export Data to Excel for Customer Billing

Did you know that with our recent 1.3 release of Tempo Books, you can now easily export data from your account overview each month? Many of our Tempo Timesheets users love being able to export their timesheet to Excel for further reporting, pivoting and data analysis, billing, and payroll purposes, the report exported from Tempo Books allows for a more detailed report of revenue/price associated with work performed and expenses logged.

Our new Time and Expenses overview is designed to help users invoice their customers, by providing an overview of prices associated with work performed on issues in JIRA and expenses logged over one month. Tempo Books offers two exporting options from the Time and Expenses overview, exporting to Excel and to PDF via print. This tip is about the Excel export. Let's take a look at how you export data to Excel for customer billing. 

We start by going to the Tempo drop down menu in the top navigation bar in JIRA. From there we can access the account that we're responsible for and want to take a closer look at. As seen below the AKA Control: Development (Billed by the hour) account is chosen.

From the account overview, we click on Time and Expenses in the top right corner (the red box in the screenshot below).

The print option under Export provides similar general view as the overview in Tempo Books. The Excel export extends the general view with more information about worklogs, the account, hours logged, and expenses to be used for external systems, such as ERP.

When Export to Excel is chosen, Excel generates three sheets; Time and Expenses, Time, and Expenses.

The document name is on the following format:

<account_name>(<account_key>)_<period_start_date>

The first sheet, Time and Expenses, contains the general review of the account for that particular month i.e. customer, account name, and period start and end date. Below are total hours and total amount (hours x price) for each worklog. Each worklog has a date, description, expense category (if applicable), name of the user, team role, price rate, hours logged, and the amount for that particular worklog. The Time and Expenses sheet is shown below.

The Time sheet below shows the worklogs with the following information: customer (key, name), project (key, name), account (key, name), issue key, issue summary, date (Atlassian date format and breakdown into day, month, year), description, username, full name, team role, hours, rate, amount and currency.

The Expenses sheet contains the expenses with the following information: customer (key, name), project (key, name), account (key, name), issue key, issue summary, date (Atlassian date format and breakdown into day, month, year), description, username, full name, role, expense category, amount, currency. To be able to view an account in Tempo Books, you need the Tempo Account Manager permission or be an Account lead. Sub-tasks are placed under their parent issues. The issues are arranged in numerical order and worklogs are in chronological order within each issue. That's how you export data to Excel for customer billing.
